RPA software

RPA software is based on robotic process automation (RPA). This is a technology in which software automates repetitive manual processes. RPA software is therefore also referred to as a software robot.

Typical use cases of our AI software

Whether claims, procurement processes or invoice processing – our AI-based IDP platform solves a variety of use cases and helps companies to increase efficiency, increase sales and reduce risks.

Delivery Bills

Can delivery bills also be processed? Yes, that’s no problem. Delivery bills accompany the delivered goods and confirm which items were delivered and in what quantity. They are important for reconciliation with the invoice to ensure that the items delivered match the items invoiced.

Just as a physical industrial robot can spend all day driving screws without getting tired, RPA software can take over (monotonous) tasks such as invoice entry.

The difference between RPA and simple algorithms is that RPA software works in a human-like manner, sometimes directly via a graphical interface like those used by operating systems. The complexity of the application also goes beyond simple pre-programmed macro commands. Nevertheless, RPA software is intended for tasks without creative components. If more extensive automation is required, advanced AI with machine learning capabilities is better suited.

Typical tasks for RPA software

RPA software can be used for many recurring tasks involving data collection and data evaluation. By definition – and also to distinguish it from generative AI – the tasks for robotic process automation are rule-based. This means that the software follows precisely defined processes. We will guide you through some common use cases.

Extracting data from digital sources is a typical application for RPA software, for example, to transfer invoice data to the ERP system. A similar scenario is data migration from one system to another.

Automating form processing is an efficient aid in many departments, from evaluating surveys and generating leads to sending newsletters. It replaces the manual work of transferring data from paper to software. Instead, the respective department can start directly with its core task: evaluation, marketing, strategic planning and much more with a solid data basis.

RPA software can also be used in accounting, for example to validate invoices or automatically send payment reminders. Manual intervention is then only necessary if unexpected errors occur – for example, incorrect invoices or transfers.

When it comes to inventory control in warehouse management, the software robot checks whether there are sufficient goods in stock. With the appropriate rules, reordering can also be largely automated. In warehouse logistics in particular, processes are usually so uniform that a high degree of automation is possible.

Difference between the IDP platform and RPA software

An important distinction is made between RPA and IDP (Intelligent Document Processing). Both are parts of process automation, but have different tasks. As software robots, RPA software basically works with digital data that comes from the ERP system, for example. Intelligent Document Processing, on the other hand, uses unstructured data as a source, which is read and structured with the help of artificial intelligence. A typical application for the IDP platform from ExB is digital invoice processing.

IDP and RPA are different solutions that complement each other perfectly. For example, IDP can provide high-quality structured data from invoices, which RPA then processes further. When implemented correctly, such processes can be seamlessly integrated, reducing manual effort to a minimum.

Is RPA the same as AI?

RPA software is often equated with artificial intelligence. However, this does not correspond to the definition. Classic robotic process automation is purely rule-based and is suitable for tasks that always recur in the same form.

AI is also capable of solving problems by means of human-like structuring and learning – so the possibilities of an AI-supported solution go beyond traditional RPA. However, it is true that modern RPA software is often equipped with AI to expand its range of functions.

Advantages of RPA software for companies

As described, there are many use cases for RPA software. The possible advantages resulting from its use are correspondingly diverse.

  • Cost efficiency: RPA software performs tasks that would otherwise have to be carried out manually. This saves the programme valuable resources.

  • Productivity increase: In addition to reducing costs, tasks are processed faster. This leads to noticeable productivity increases in departments.

  • Independence: With RPA software, processes are independent of human resources or third-party providers. This ensures plannability and scalability.

  • Security: Robotic process automation is considered to be particularly secure. On the one hand, because the software avoids careless mistakes. On the other hand, because strict data protection standards are adhered to.

Employee satisfaction: Recurring tasks are not popular with employees. By relieving them of these tasks, the software gives them more time for their core competencies – with the positive effects of greater motivation and increasing loyalty.

Implementing RPA correctly

To reap the benefits of RPA software in your company, it is important to implement it correctly. A proven approach also ensures maximum acceptance of this innovation among staff and management.

  1. Select suitable processes with a high potential for automation
  2. Conduct a compliance-focused risk assessment
  3. Select the right RPA platform, for example based on a set of specifications
  4. Conduct a pilot project to test feasibility
  5. Create automation scripts for the RPA
  6. Test the platform, validate results and evaluate processes
  7. Train employees to ensure acceptance from the outset
  8. Deploy the RPA solution
  9. Evaluate the process and continually optimise the RPA solution to maximise efficiency
  10. Set up continuous monitoring and regularly update the RPA software
