The difference between RPA and simple algorithms is that RPA software works in a human-like manner, sometimes directly via a graphical interface like those used by operating systems. The complexity of the application also goes beyond simple pre-programmed macro commands. Nevertheless, RPA software is intended for tasks without creative components. If more extensive automation is required, advanced AI with machine learning capabilities is better suited.
Typical tasks for RPA software
RPA software can be used for many recurring tasks involving data collection and data evaluation. By definition – and also to distinguish it from generative AI – the tasks for robotic process automation are rule-based. This means that the software follows precisely defined processes. Extracting data from digital sources is a typical application for RPA software, for example, to transfer invoice data to the ERP system. A similar scenario is data migration from one system to another.

Instead, the respective department can start directly with its core task: evaluation, marketing, strategic planning and much more with a solid data basis.

When it comes to inventory control in warehouse management, the software robot checks whether there are sufficient goods in stock. With the appropriate rules, reordering can also be largely automated. In warehouse logistics in particular, processes are usually so uniform that a high degree of automation is possible.
Difference between the IDP platform and RPA software
An important distinction is made between RPA and IDP (Intelligent Document Processing). Both are parts of process automation, but have different tasks. As software robots, RPA software basically works with digital data that comes from the ERP system, for example. Intelligent Document Processing, on the other hand, uses unstructured data as a source, which is read and structured with the help of artificial intelligence. A typical application for the IDP platform from ExB is digital invoice processing.
IDP and RPA are different solutions that complement each other perfectly. For example, IDP can provide high-quality structured data from invoices, which RPA then processes further. When implemented correctly, such processes can be seamlessly integrated, reducing manual effort to a minimum.
Is RPA the same as AI?
RPA software is often equated with artificial intelligence. However, this does not correspond to the definition. Classic robotic process automation is purely rule-based and is suitable for tasks that always recur in the same form.
AI is also capable of solving problems by means of human-like structuring and learning – so the possibilities of an AI-supported solution go beyond traditional RPA. However, it is true that modern RPA software is often equipped with AI to expand its range of functions.
